Checking In For Store Visits
Checking in via the VMS at your store is required for every store visit.
- Checking in is a required step of the visit process - you must use the VMS to check-in before each store visit.
Check-in Process:
You should check-in once you reach your store and you are about to commence your visit - do not check in before you reach your store.
- Check-in is available by accessing the VMS from your phone at https://vendor.haynesandcompany.com and selecting the 'Check-in' button for the corresponding visit on the "My Assignments" page.
- As part of the check-in process, you may be prompted to share your location with your device - all requests must be granted, otherwise the check-in will not succeed.
- To prepare for your visit and check-in, you should run a test and correct any issues. From the menu in the top right, select 'Test Location Services' and refer to the instructions on the page.
Troubleshooting/Issues:
Common Check in Problems:
- What if I accidentally checked-in for a visit?
- Click 'Undo' for the visit and the check-in will be reset for that location.
- I'm getting a message about being more than 500 feet from my store.
- Ensure that you only check-in when you are at your store (not from your car in the parking lot!)
- If you are at your store and see this message, the most likely cause is poor network reception resulting in an inaccurate location being reported by your phone.
Select the option to try again. If you receive the same warning, submit a photo of your store and a comment and proceed with your visit.
- My check-in failed and I'm not sure why?
- Take note of the error code/issue being reported on the check-in page and refer to the 'Location Services Failures' list below.
Location Services Failures
After running a location services test or attempting to check in, your test may fail for one of the following reasons:PERMISSION DENIED: The VMS does not have permission to use location services. Either Location Services is disabled on your phone or you've blocked the VMS from accessing location services in your web browser on your phone. You should validate the following:
- Ensure location services is turned on:
- Apple iOS - https://support.apple.com/en-us/HT203033, see 'Turn Location Services on or off'
- Android / Other - This varies by device, usually under device Settings > Location. Please search for your specific phone model/Android version followed by "enable location services".
- Clear / Reset location services denials in your browser:
- Safari on Apple iOS - https://support.apple.com/en-us/HT203033, see 'Reset or disable Location Services', follow instructions to reset all location settings.
After resetting, run the 'Location Services Test' from the menu in the top right of the VMS. - Google Chrome on Android - https://support.google.com/chrome/answer/142065?hl=en, see 'Manage Location Sharing', follow instructions to ensure Location is turned on and https://vendor.haynesandcompany.com is not in the list of blocked websites/exceptions.
After resetting, run the 'Location Services Test' from the menu in the top right of the VMS. - Other - This varies by browser and device. Please search for your specific phone model / Android version followed by "reset location services".

- Ensure you are not accessing the VMS via a 'shortcut' on your home screen or using links within your email application. Please access the VMS by opening the browser on your phone and entering the complete URL: https://vendor.haynesandcompany.com
- If the following steps have not fixed the issue, please submit a Support ticket for further guidance, outlining the steps you've tried so far.
UNAVAILABLE: The location services feature did not return a location. Either Location Services is disabled on your phone, you've blocked the VMS from accessing location services in your Web Browser on your phone or another general exception occurred.
Please follow the steps as per the 'PERMISSION DENIED' section above.
TIMEOUT: The location services feature did not return a location due to a timeout in the connection. This is usually caused by a weak signal / reception on your phone. Please attempt to check-in from another physical area where coverage is better. If the problem persists, please follow the steps as per the 'PERMISSION DENIED' section above.
